This policy explains what data we collect, how we use it, and your rights under GDPR and UK data protection law.

1. Who We Are

Immigration Workspace is operated by ZenvyTech. For data protection purposes, ZenvyTech is the data controller for personal data collected through this platform.

2. Data We Collect

Account data

When you register, we collect your name, email address, and a hashed password. We also record your subscription plan and account status.

Usage data

We log which AI features you use and how many tokens each request consumes, for billing and abuse-prevention purposes. We do not log the content of your prompts or AI outputs.

Case data

When you use Case Memory, we store the information you enter: applicant name, nationality, visa route, uploaded document metadata, and AI-generated outputs. This data is associated with your account and is not shared with other users.

Uploaded documents

Documents you upload for AI analysis are processed in memory and not permanently stored on our servers beyond the current session. Document text may be temporarily stored in case memory if you save analysis results.

Support tickets

If you contact us via the support form, we store your name, email, and message in order to respond.

3. Legal Basis for Processing

We process your personal data on the following legal bases:

Contract performance: to deliver the subscription service you have purchased.
Legitimate interests: to prevent abuse, improve the platform, and maintain platform security.
Legal obligation: where required by applicable law.

4. How We Use Your Data

To provide and maintain your account and subscription.
To process payments via our payment provider (Stripe).
To send transactional emails (verification, password reset, support replies).
To detect and prevent fraudulent or abusive use of the platform.
To generate anonymised, aggregate statistics about platform usage (no personal data is shared).

5. Data Sharing

We do not sell your personal data. We share data with third parties only where necessary:

Stripe — payment processing. Stripe is the data controller for payment card data.
Anthropic — AI processing. Document text and prompts are sent to the Anthropic API to generate AI outputs. Anthropic's data use policy applies to these requests.
Hosting infrastructure — our servers and databases. Data is stored within the EEA/UK or with providers offering adequate safeguards.

6. Data Retention

We retain account data for as long as your account is active. If you delete your account, we permanently delete your personal data and all associated case data within 30 days, in accordance with GDPR Article 17.

Usage logs are retained for up to 12 months for abuse prevention and billing purposes.

7. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

Access the personal data we hold about you.
Rectify inaccurate personal data.
Erasure — request deletion of your data (right to be forgotten).
Restrict processing of your data in certain circumstances.
Data portability — receive your data in a machine-readable format.
Object to processing based on legitimate interests.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO): ico.org.uk.

8. Cookies

Immigration Workspace uses only functional cookies necessary to keep you logged in. We do not use advertising cookies or third-party tracking cookies.

9. Changes to This Policy

We may update this policy periodically. We will notify registered users of material changes by email. The current version is always available at this URL.
